The service and who these terms apply to
Ariadne Thread is a professional contact management platform for medical affairs teams, developed and operated by PatientThread Ltd, a company registered in England and Wales.
These Terms of Service govern your use of the Ariadne Thread iOS application, web dashboard, and associated services. By using Ariadne Thread, you agree to these terms in full.
In plain English: Ariadne Thread is licensed to organisations, not individuals. Your organisation's administrator is responsible for your account. These terms set out what you can and can't do with the platform, and what we're responsible for.
The service
Ariadne Thread provides tools for capturing, managing, and enriching professional contact information at medical conferences and scientific meetings. Features include badge scanning, AI-assisted contact enrichment, KOL assessment, team safety coordination, and reporting.
The platform is licensed to organisations on a subscription basis. Individual user accounts are created by invitation from an organisation administrator. Personal use accounts are not offered.
Eligibility
To use Ariadne Thread you must:
- Be invited by your organisation's administrator
- Be at least 18 years of age
- Be working in a professional capacity in healthcare, life sciences, or medical affairs
- Agree to these Terms of Service and our Privacy Policy
By accepting an invitation and creating an account, you confirm that you meet these requirements.
Subscriptions and payment
Access to Ariadne Thread is provided on a paid subscription basis. Subscriptions are managed at the organisation level and billed via Stripe.
- Organisations are responsible for all subscription fees, regardless of individual user activity
- Fees are billed in advance for the subscription period selected
- Partial months are not refunded
- We reserve the right to suspend access if payment is not received within 14 days of the due date, following notice to the organisation administrator
- Pricing may be updated with 30 days' written notice to the organisation administrator
Acceptable use
You may use Ariadne Thread only for lawful professional purposes. You must not:
- Use the platform for personal, non-professional, or recreational purposes
- Capture contact data without a legitimate professional basis for doing so
- Attempt to access, view, or extract data belonging to another organisation
- Reverse-engineer, scrape, or otherwise attempt to extract the underlying software or data structures
- Upload or transmit malicious code, spam, or any content that is unlawful, defamatory, or harmful
- Share your login credentials with any other person
- Use the platform in a way that could damage, overload, or impair its infrastructure
We reserve the right to suspend or terminate any account found to be in breach of these terms, without notice in cases of serious or repeated violation.
Data and privacy
Your use of personal data captured through Ariadne Thread is governed by our Privacy Policy.
Your organisation is the data controller for all contact records captured by your team. PatientThread Ltd acts as a data processor on your organisation's behalf and will process data only as instructed.
You and your organisation are responsible for ensuring that your use of the platform complies with applicable data protection legislation, including UK GDPR and EU GDPR.
AI features
Ariadne Thread uses artificial intelligence to enrich contact records with publicly available information, including publication records, institutional affiliations, and KOL assessments.
- AI-generated content is provided for informational purposes only
- We do not guarantee the accuracy, completeness, or currency of AI-enriched data
- You are responsible for verifying enriched data before acting on it, particularly in any clinical, regulatory, or commercial context
- PatientThread Ltd accepts no liability for decisions made on the basis of AI-generated content
Availability
We aim to maintain high availability of the Ariadne Thread platform. However, we do not guarantee uninterrupted access and accept no liability for downtime caused by circumstances beyond our reasonable control.
Planned maintenance will be communicated to organisation administrators in advance wherever possible. Emergency maintenance may be carried out without prior notice where necessary to protect platform security or integrity.
Termination
Either party may terminate the subscription with 30 days' written notice.
On termination:
- Access to the platform will cease at the end of the notice period
- All contact data and records will be retained for 90 days to allow for export
- After the 90-day period, all organisational data will be permanently deleted
- No refund will be issued for any unused portion of a prepaid subscription period
We may terminate your organisation's access immediately, without notice, in cases of serious breach of these terms, non-payment, or conduct that poses a risk to the platform or other users.
Limitation of liability
To the fullest extent permitted by law:
- PatientThread Ltd's total liability to your organisation shall not exceed the subscription fees paid in the 12 months immediately preceding the event giving rise to the claim
- We are not liable for any indirect, consequential, or special losses, including loss of revenue, loss of data, or reputational damage
- We are not liable for decisions made on the basis of AI-enriched contact data or KOL assessments
- We are not liable for any failure or delay caused by circumstances beyond our reasonable control
Nothing in these terms limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
Intellectual property
All software, design, and content comprising the Ariadne Thread platform is the intellectual property of PatientThread Ltd. Your subscription grants you a limited, non-exclusive, non-transferable licence to use the platform for its intended purpose.
You retain ownership of all contact data and records created by your organisation. By using the platform, you grant PatientThread Ltd a limited licence to process that data solely to provide the service.
Changes to these terms
We may update these Terms of Service from time to time. When we make material changes, we will notify organisation administrators by email and update the effective date at the top of this page.
Your organisation's continued use of Ariadne Thread after changes take effect constitutes acceptance of the updated terms. If you do not accept the updated terms, you may terminate your subscription in accordance with Section 8.
Governing law
These Terms of Service are governed by the laws of England and Wales. Any dispute arising from or relating to these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If any provision of these terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.
